Office Administrator
Part-Time (20 hours per week), increasing to Full-Time (40 hours per week) in July or as operationally required
The School is seeking to appoint a competent and organised Office Administrator to support the effective day-to-day running of the School. The selected candidate will initially be engaged on a part-time basis, with the role increasing to full-time in July (or earlier, subject to operational needs).
The role requires a high level of discretion, organisational ability, and digital competence within a structured educational environment.
Key Responsibilities
Administrative & Operational Management
Overseeing daily administrative operations, including timetable coordination, staff duty schedules, internal communications, official correspondence, transport coordination where required, maintenance liaison, and procurement of office supplies.
Financial & Accounting Support
Providing administrative support in financial record-keeping, including management of invoices and receipts with finance department, maintaining school fee data, supporting uniform and event-related accounts, and assisting with budgeting processes.
IT Support & Digital Systems
Providing first-line IT support, managing staff and student devices, maintaining digital platforms and school systems, supporting email setup and user accounts, and ensuring effective management of audiovisual and security systems.
Academic & Examination Coordination
Supporting the coordination and administration of examinations and assessments, managing regulatory submissions (including MATSEC, SBA, and national studies), and ensuring timely compilation and submission of required academic data.
Programme Planning & Coordination
Assisting in the organisation and administration of co-curricular and supplementary programmes, including after-school initiatives, summer programmes, CPD sessions, and specialised educational courses.
Reporting & Data Management
Compiling, maintaining, and submitting internal and external reports, statistical returns, and survey data in line with regulatory and institutional requirements.
Student & Staff Resources
Coordinating the preparation and distribution of academic resources, including student materials, booklists, printed documentation, and staff equipment inventory.
Events & School Communications
Supporting the planning and logistical coordination of school events and fundraising initiatives, assisting with parent engagement events, and contributing to the management of official school communication channels.
Health & Safety Compliance
Assisting with the coordination of health and safety procedures, including emergency drills, inspections, and maintenance of compliance documentation.
Required Competencies
Applicants must demonstrate proficiency in Microsoft Office (particularly Excel and Word), Google Workspace applications, PDF/Adobe tools, Canva, Adobe Photoshop, and general IT troubleshooting.
Experience within an educational setting and familiarity with Maltese educational regulatory requirements will be considered an asset.
