VACANCY – Office Administration

Job Description

A vacancy at our school has arisen for a full-time Administration Executive. The working hours will be from 7am – 3pm (full time) Monday – Friday.

The duties for the suitable candidate will be as follows:

  • Provide administrative support to the administration office;
  • Assist in the smooth running of the office;
  • Participate in staff meetings;
  • Maintain and update the filing system as necessary;
  • Ensure the maintenance and the upkeeping of all documents
  • Ensure all documentation aligns directly with the internal procedures;
  • Assist in the creation and review of templates, forms and SOPs.
  • Assist in the execution of the internal process;
  • Develop, revise and write minutes and reports as necessary;
  • Deal with enquiries and requests for information from both internal and external clients including meetings with new, potential clients and registrations;
  • Assist with the organization of school trips, outings, erasmus, distribution of circulars in a timely manner and relevant logistics.
  • Ensure that financial, legal or administrative requirements and regulations are complied with;
  • Assist in managing, implementing and updating existing policies as well as processes and procedures related to the smooth running of the school;
  • Ensure sensitive data and information is stored and retained in line with GDPR requirements and confidentiality of information is maintained in all communications;
  • Taking the initiative to simplify processes whilst observing the Schools’s policies, processes and procedures;
  • Carry out other duties as directed by the Director or representative.
  • A’ level 5 qualification or higher is required to apply for this position in business management, administration, sales, early years management or equivalent.
  • Full induction training will be given to the right candidate and the ideal candidate would be available to start in June.
